Subject: what can you do if you have a "thin organization"?
If your maintenance department is 5 or less in staff, it may be impractical to "feed the monster" too much information.
That said, what should be reasonable goals?
Most client sites (of this size) simply use Maximo to open/close tickets. If someone asks for failure history, it comes down to personal knowledge.
Below is a list of realistic goals. Remember, you should not enter data unless there is a strategy for usage – or benefit to organization.
Assumption: you are the maintenance manager, and the staff will follow your instructions.
1) Lowest level objective might be, to make a work order for all work performed. This includes general maintenance as well as breakdown work.
2) Set up PM program for automated fire. Review & refine over time.
3) Enter (labor) actual man-hours. This will start accumulating cost against asset/location.
4) Enter failure/problem codes – at work completion. Review & refine hierarchy over time. The goal is to be able to identify recurring problems with trending reports.
5) Enter actual parts usage. This will also start accumulating cost against asset/location.
The staff may need refresher training. And they may benefit from having a guideline (cheat sheet)_ taped to side of terminal.
Make sure you are clear as to time requirements at end of shift that they must return from work site to update system.
As an option, you may decide to enter this data for them – from the printed work order (that they marked up).
So, in summary, Step 1, would be absolute minimum. Step 2, would help keep equipment running and possibly identify repairs before they breakdown. Step 3 & 5 aide life cycle costing. Step 4 might just be a training issue (and setting up the hierarchy).
