I would like understand how the actuals flow back to Work Order and Assets level. Appreciate if I can hold of process document which IBM have given to get clarity.

That depends on whether you’re doing everything in Maximo or not, including Inventory, Procurement and Accounts Payable. Assuming you are:
- For Labor, the transactions need to be entered via the Labor Reporting screen or directly on the Work Order Actuals tab.
- For Inventory issues, when the item is issued from the Inventory screen or Inventory Usage/Issues & Transfers screens, it will show up automatically on the Actuals tab.
- For Direct Issue items, i.e. materials, items not reserved against the storeroom, and services, you would submit a request via the Plan tab (which means the Inventory/Procurement people need to run Direct Issue Reorder to convert them to PRs), or onto a DR/PR/PO directly. The Actuals show up on the work order when the Receipt is entered on the PO via the Receiving application.
- Finally: if you are invoicing in Maximo, and there is variance between the PO and the Invoice: when the invoice is approved, the variance will also be posted to the work order.
Since the work order is connected to the Asset, at each stage of the process the Asset # and Location are also automatically recorded. Consequently you could do queries against the asset as well as the work order. In addition, there are some cost rollup reports available (I think – I haven’t looked in a while).
If you have integrations, the integrations ideally would be set up to give the same result, but it depends on how they’ve been defined by your business requirements.
