Using E-Signature with Workflow

From: (2014-01-28 16:34)

Hi,
My company is attempting to go paperless, but it doesn't appear that there are any good E-sig options when using workflow and workflow is a must in our environment.
We were hoping to use e-sig on approval statuses change via an action, but that doesn't work. Then I tried bringing up status box on an interaction node, and while that seemed promising the interaction node has a delay which required a user to click on route workflow a 2nd time, which is not intuitive, and would cause other issues. Putting an E-Sig on RouteWF is supposed to work with workflow per the documentation on sig options, but it is not working. We turned in a ticket a few weeks ago and IBM has yet to reply to this issue even after escalating.
Can anybody provide insight as to how we can e-Sig approvals in Maximo 7.5 with workflow.Any tips or tricks.... This seems like a it should be a very basic function at this stage of the game.
Any help would be greatly appreciated.
Thanks much!!

Why do you need e-sig I thought work flow records the individual that approved the assignment

Sorry, Should have mentioned that my company is regulated by the FDA. Just workflow and E-audit not enough on approval situations. They want to see -e-sig records when performing audits. So far no one has an answer to this......only questions :) If you have an answer please get back to me. thanks!

We went down the paperless road a couple of years ago now (we're FDA regulated as well). We were already using workflow for our status changes. However, even though we were able to put an e-sig on on status changes, it was an all-or-nothing config. We only wanted e-sig on certain status changes. Our solution was to add fields to the WO Log screen for status change steps requiring it (e.g. technician completion and supr review). When the field is populated, the instrinsic save triggers an e-sig. Email me for more details.

I am the IT guy at Grifols who works with Bill...here's a little more
detail about how we set this up.
A number of years ago we actually converted all work order status changes
to a workflow. I have a few slides on this from our Pulse presentation last
year if anyone is interested in more detail on this. There are some pros
and a fair amount of cons to doing this, but it works for us.
One of the main benefits is that it allows us to do data checks upon status
changes, without any java customization or rules manager add-ons. So for
example, the printed work order has a "completed by" signature on it. Well,
we added a "completed by" field to the work order and the status workflow
checks that this field is populated before it will allow the user to move
to COMP status.
Then of course, we put an e-sig on the "COMPLETEDBY" attribute. So yes, if
the user saves before clicking the status change button, they will be
prompted for the e-sig at that time, but usually what happens is that they
populate the field and then click the status change button. The status
change button triggers a save so it gives the impression to the user that
the e-sig occurs because of the status change. But really it is occurring
due to the update of the field.
I should also mention that we put a domain on the completedby attribute
that only returns the name of the person logged in. So this simplifies the
input for the user.
Yes I know it seems crazy that we are capturing the completedby when Maximo
captures who makes the status change to COMP, but this is what we had to do
to be compliant.

I can show you how to remove the interaction delay (second click) on the Workflow if you like...

Will I would love to hear your take on how to get around the second button
click. I have gotten around it in some cases by presenting a dialog box to
the user, and defining the OK button to perform the ROUTEWF event.

That would be awesome if you could provide that info.I'm a business analyst so if it's too complex of a solution I will pass it on to our Maximo IT guy who does any of our configurations/customizations.

Much appreciated!

Hi Kevin,
Thanks much to you and Bill for the info you've provided. I will pass this on to our IT guy who is more up to speed on the technical aspects of this then I am.
Btw, After IBM confirmed the limitations we have started developing an approach that sounds similar to what you are describing. We are testing using checkboxes that are required to move the work order forward which initiates the E-Sig. It looks promising.

If you don't mind we would love to see the slides.
