Locations: Autonumber vs Smartnumber

When creating location numbers in Maximo is it better to us auto numbers or is it better to develop an intelligent number scheme. I'd like to get your feedback as to the reasons for your recommendation

We use a standard structure for locations (iso14224) so we have a common understanding and application of it. Locations don't tend to move or change much so descriptive keys are not typically a problem (Think of it as an Address).

Personally I don't like intelligent numbering, specifications should give you everything you need to find and or categorise your location and are much more flexible and you don't end up with unwieldy numbers
But in virtually every place I've been they have used them in the Oil & Gas industry they virtually all use Piping and instrument Drawing numbers ( TAGS) prefixed by the system they implement or as a higher level in the hierarchy.
Most people tend to think of their locations as pieces of equipment that they maintain rather than the assets physical location and this is where it can go wrong as they start writing PM's against the location. As long as there are assets at the location and the planned work is against the asset then I havn't had a problem with intelligent numbering - but avoid specific information as you might change the specification at some point

I have taken two approaches.
1) Let Maximo autonumber and use the classifications to generate location description. This creates a standardized description that is easy for users to get used to and still makes full use of all the functions of classifications/ specifications/ attributes as mentioned by Ian.
2) I have done facility work where room configurations are ever-changing (labs, classrooms). This makes intelligent numbering problematic at the least. I have created a new field to hold the location code (intelligent number) while allowing Maximo to autonumber the location. Conditional expressions, data restrictions, e-sig, e-audit and automation scripts are all tools you can use to restrict who can modify the location code value to protect data integrity. If two rooms are combined, one location is made inactive and the code for the other can be updated. I much prefer solution 1).

Intelligent numbering will always fail to meet end-user needs.

Leverage CLASSIFICATION ATTRIBUTES and enable automatic name creation to insure consistent, precise descriptions for Items, Assets, etc.

This assumes you have a bullet-proof Classification system that is composed of Nouns, Modifiers, Characteristics and Values….all of which are controlled ruthlessly by a CMMS / DATA admin role. If you don’t have a solution yet, contact me and I can point you in a direction that will work no matter what.
