How do you manage new/edit item requests?

Hi all, just curious if anyone is supporting a stockroom with a high amount of requests for new parts and edits to existing parts, by the engineers or other personnel. If so, how is the process managed? Paper forms, spreadsheets? Anyone allowing non-inventory personnel to create records directly in item master as part of a process to on board new items?

Just saw this, for some reason ...

At one of my client sites, they are currently looking at that issue as well.
Previous to this, they had bought the Standard Modifier Dictionary and the
Struxure application from IHS, and had a workflow process in the Struxure
application where non-inventory personnel could submit requests. The
request would then be reviewed by the inventory tech prior to going to a
gatekeeper for approval. Once approved, the item would then be passed to
Maximo as an Active item.

There are certain flaws in this, such as
1) Struxure did not allow for rotating items , condition-enabled items
or kits, so we ended up putting in another workflow into Maximo to finalize
the setup for those
2) the need to maintain two databases with items
3) No way to set up Tool Items or Service Items (we ended up doing
those by e-mail instead)

Currently, they are reviewing this arrangement as part of a larger supply
chain project, and have decided not to use Struxure going forward. Instead,
the current idea is to use a form of Service Requests to allow a user to
request an item. This doesn't include bulk uploads, of course.

Once of the ideas we had during the project was to allow users to create
items in a "NEW" status. Once created, the item would go into workflow for
approval, and then go to ACTIVE status. For items that weren't approved, we
tried creating a CAN (cancelled) status. We abandoned this idea, though,
since the over-riding concern is to prevent duplications.

One of the more useful functions that Struxure had was the ability to
compare manufacturer part numbers when a new item was entered into it. To
prevent cases where a duplicate is not caught because of dashes, or spaces,
etc., it removes the extra characters before it compares. I have to say
that's a brilliantly simple solution that I wish I'd thought of years ago!
I believe (I'm not working directly on the technical side of this) that my
client's project has tried to re-create this somewhat as well.

We've used Service Requests to generate the request for new items. Can use a classification to identify all the "specs" for the item. Once approved, an inventory personnel can create the item in Item Master. This avoids cluttering up Item Master with records that may not be approved.

Item creation should always be done by inventory personnel and specialist who should be keen to not duplicate items or create redundant codes.
For few client we have created New Apps 'request for item' where user request Nez item creation by specifying classification of the item (or service) and using a WF, inventory personnel may create new item or propose existing items to be used.
This mean that once the request of New item has been Fulfilled the user need to request the purchase of the goods.
With other client , users puts on a PR, the goods to be purchased as material if no item code exists. Then the PR is sent to Navision (inventory system) and item could be created there and the right item code is returned back to Maximo on the same PR.
My advice is control item creAtion and limit that functionality to some specialist in the inventory department. This process can be straightened by implementing a smart coding rules for inventory items

How about this:
In the item set set up functionality, set a default item status to PENDING
Limit the ability to change an item STATUS to ACTIVE to only a small group.
Let people create items. but not have the change status capability.
There can be a query or report hat lists items that are in a PENDING STATUS
and the catalog group that controls ITEM MASTER can run that query/report
and review the items requested and approve them by changing them to ACTIVE
status.
The beauty is that is uses all out of the box security to control the
creation and active status changes for ITEM MASTER.
All of this is in my version of MAXIMO 7.6 EAM.
Not sure if it is in earlier versions.

To add to that: if you want total control over the item, i.e. to ensure it can’t be used before the status changes to ACTIVE, you need to make sure the following settings are correct:
1. Sets application – set default status to PENDING
2. Organizations application – set default status to PENDING
3. Organizations application – set default Stock Category to NS

The reason for this: #1 ensures that when you create a new item, the status is PENDING. #2 ensures that when your item is in PENDING status, it can’t be bought as a direct issue. #3 ensures that when your item is in PENDING status, it can’t be added to a storeroom.

When changing the status of the item to ACTIVE, you will then need to:
1. ensure that the “Roll new status to Organizations and Inventory?” flag is on, to ensure that the item’s organization status changes to ACTIVE as well, OR
2. have a user activate the item at the organization level by going into Select Action à Item/Organization Details and changing the status there

To allow it to be added to inventory, a user would also need to go into Select Action à Item/Organization Details and set the Stock Category to STK (it could probably be set by workflow too, I suspect - )
