Unable to delete some of the attachments on PO created from PR/RFQ with the attachments coming from PR/RFQ

we have a requirement from user that he should be able to delete some of the attachments on PO created from PR or RFQ,but all the attachments needs to be there in PR/RFQ.The out of box code prevents the deleting from happening if object is not an owner of the attachments,if we modify the code to allow the atatchments,it goes from the repository as well,any ideas/suggestion to accomplish this?

Hi

Maybe you need to clarify the request?

We are using 7.5 – so this is my understanding.

When attachments are made to the base record they are visible from related higher level records.

As another example to your one, an attachment link to an asset is visible as an attachment in the Asset Application, as an attachment to the Work Order in the work order application, as an attachment to the PM in the PM application etc. Each time though the fact that it is an attachment to the Asset Record is clearly shown as the owner Application – which is why changes to the attachments to the Asset record will appear as changes to the documents linked to History records such as closed work orders or Purchase orders as well.

The print options are controlled at the base record too as there is only one record in the Doclinks table.

If this is a similar situation you have – aren’t you after a mechanism to control the Print / Visibility of attachments at the higher level records rather than the deletion of the record?

Let me guess. You attach competitive bids to the RFQ/PR and don't want the winning bidder to know the pricing of competitors.

I have end users who are probably about to ask me how to solve that very problem in 6.2 My answer is going to be, "Ask me after we upgrade to 7.6 in October".

HI Chris: not sure why that would be a problem. Are the vendors viewing
the PO in Maximo, or is there a Communications Template sending out all of
the attachments?

In the latter case, I would suggest saving the PO printout in a separate
Linked Document folder from the rest -

It's not actually a real problem, since they do a lot of Ariba punchout and have very fine control over what gets sent. For the folks who print out POs and fax/email... well, you can guess what controls need to be applied there.

Yes that is one thing.But the main thing of the customer is the fact that there could be many attachments at the PR/RFQ level,but the end user should be able to delete those attachments from PO and keep only those which he feels appropriate.The rest of the attachments should remain intact at the PR/RFQ level.

Can someone please let me know if that should be done,if that is the right practice and if yes,how to do that technically.

End user can attach many diagrams and images when creating PR/rfq.But once
the PO is created, the purchasing users need not have to see all the
attachments and have the requirement to delete ones which they don't want
to see.

If that really is the only problem, here's what you can do.

1) Go to Application Designer.
2) Select Action --> Export System XML --> export Library.XML
3) File --> Save As.
4) Open that file in a text or XML Editor.
5) Search for dialog id="viewattachments"
6) Copy all the XML code for that dialog box.
7) Go back to Application Designer.
8) Query for, and open, the design for PO.
9) Export the XML.
10) File --> Save As.
11) Open PO.XML in a text or XML editor.
12) Scroll down towards the bottom. Find where all of the dialogs that are local to PO.XML are.
13) Paste in the XML code that you copied from Library.XML.
14) At this point, you could choose to save the file, import it, and finish the last step with Application Designer, or you could just finish this last step directly in XML. The last thing to do is add a defaultvalue control to this new, local, View Attachments dialog. If you are doing this in XML, it should be before the first tablecol control, and should be at the same indentation as tablecol controls.

The first few lines should look something like this:

15) Save. Then, if you did Step 14 in XML, import PO.XML to Application Designer.


That *should* pre-filter the View Attachments dialog in the Purchase Orders app to show only the attachments created for the PO, not those that it "inherits" from the related MR, PR, or RFQ records. And this would ONLY affect the PO app, since we copied the View Attachments dialog and put it in the XML for the file. A call for that dialog would look locally first, then if it can't find it, it goes and looks in the Library.

Keep in mind that is ONLY a filter. You aren't deleting anything, you are only hiding it. A user could un-hide it by expanding the filter row and deleting the default value it supplies. . .unless you also remove that column from the filter row.

And sometimes, it is glitchy. Like Maximo forgets to apply the filter. But it works most of the time. . .
